PRESIDENT – NJOTA Officer

Election Cycle: Even years for a term of two years. 

Eligibility: Member of NJOTA executive board for minimum of one year.  Member of AOTA.  

Primary Duties

    ·  Chief executive officer of the Association

    ·  Preside at all meetings of the Association membership and the Executive Board.

    ·  Create special committees when necessary and appoint their chairs.

    ·  With majority Board approval, fill all vacancies between elections.

    ·  Be an ex officio member of all committees except the nominating committee.

    ·  Represent the Association at the Committee of State Association Presidents (ASAP) of AOTA.

    ·  Carry out specific duties as outlined in the procedural guide. 

Financial Responsibilities: has authority to countersign checks and vouchers on behalf of the corporation

 

 

VICE PRESIDENT –NJOTA Officer 

Election Cycle: ODD years.  Term of office is for two years.  

Eligibility:  Member of NJOTA and AOTA.   

Primary  Duties

·  Discharge the presidential duties in the absence of the President.

·  Succeed to the Presidency for the unexpired portion of the President’s term in the event of a vacancy in office of the President.

·  Serve as a member of the Executive Board

·  Chair the procedural guide committee – By Laws

·  Carry out the duties as outlined in the procedural guide.

 Secondary Duties

Prepare agenda for monthly board meetings

Establish list of Board of Officers (incl addresses and contact information) each year and update as necessary.

Monitor Administration Duties eg Time line for the Election of Officers; Provide information to the Board on By Laws

Monitor and assist with update of Job Descriptions of Officers

Maintain required documents for the Board eg Annual Vision and Goals; Annual Elections.

 

Position Title: Ways and Means Chair 

Election Cycle: Even 

Committees/areas of concern: publications, education, website information coordinator 

Primary Team:  

Financial Responsibilities: Income generated assists in financial security of NJOTA; Has a specific budget amount as designated in the annual budget; beyond that amount must be approved by board. Purchases products for re-sale to members and the public. Organizes sales at AOTA, NJOTA annual conference, and spring membership meeting. 

Brief Description of Position:

This position includes organization and direction of activities that raise money for the operation of NJOTA. This includes sales, activities and fund-raising raffles/tricky tray.  

Enhanced Description of Procedures, tasks and materials related to your position:

·        Work with treasurer to manage purchases.

·        Organize contacts and contracts for activities

·        Provide information to the web information coordinator and publication chair regarding products.

·        Track inventory. Replenish supplies as necessary.

·        Plan events. 

Primary Responsibilities:

·        Members of the Board Directors shall be members of NJOTA.

·        Shall attend all Board of Directors meetings as a voting member

·        Shall provide written/electronic reports as necessary to be incorporated by the Secretary in the monthly minutes of the Board of Directors.

·        An annual report shall be forwarded to the president for presentation at the annual meeting.

·        The holder of each position shall orient their successor to the duties and responsibilities of the position and transfer the attendant documents and materials to such a successor.

·        Communicate pertinent information to publication chair.

·        Shall be responsible for timely updates to the website.

·        Provide with appropriate information regarding purchases and sales, including revenue.

 

Treasurer - NJOTA Officer 

Election Cycle: EVEN years.  Term of office is for two years. 

Eligibility: Member of NJOTA. 

Primary Duties

  ·  Be bonded and be responsible for the conduct of the financial affairs of the Association.

  ·  Collect the fees and other monies paid into or belonging to the Association

  ·  Keep full and accurate accounts of all receipts and disbursements of the Association

  ·  Present a written statement of the Association’s financial affairs to the membership at

      the annual business meeting along with a budget  approved by the Executive Board.

  ·  Serve as a member of the Executive Board.

  ·  Serve as an ex officio member of any ad hoc committee concerned with the Association’s finances.

  ·  Carry out specific duties as outlined in the procedural guide 

Financial Responsibilities: responsible for all the financial affairs of the Association

 

Position Title: Practice Committee 

Election Cycle: Even years. Term of two years. 

Committees/areas of concern:

Primary Team: President, Publications Chair, Public relations chair, State Legislation chairs, Education chair.

Brief Description of Position: The Practice Committee shall facilitate the establishment and maintenance of ideas to feed professional development groups to meet the needs of the membership. 

 The Council of Practice chair will act as a liaison between the Board of Directors and practitioners within the state. This position also facilitates review of pertinent practice documents from relevant related organizations.

Primary Responsibilities:

Members of the Board Directors shall be members of NJOTA.

Shall attend all Board of Directors meetings as a voting member

Shall provide written/electronic reports as necessary to be incorporated by the Secretary in the monthly minutes of the Board of Directors.

Position Title: Education Chair 

Election Cycle: Even 

Committees/areas of concern:

·        Annual conference

·        Scholarship

·        Awards

·        Workshops

 Primary Team: Treasurer, President, Publications Chair, Public relations chair, Student representatives, Commission on Practice chair

 Financial Responsibilities: Maintains budget and revenue in conjunction with the treasurer for events

 Brief Description of Position:

The education chairperson shall develop continuing education programs for occupational therapy practitioners in NJ; oversee annual conference, workshops, awards, and scholarships.

 Enhanced Description of Procedures, tasks and materials related to your position:

Liaison with council on practice on issues regarding current practice. Shall also keep in contact with educational programs as necessary to disseminate information.

 Primary Responsibilities:

·        Members of the Board Directors shall be members of NJOTA.

·        Shall attend all Board of Directors meetings as a voting member

·        Shall provide written/electronic reports as necessary to be incorporated by the Secretary in the monthly minutes of the Board of Directors.

·        An annual report shall be forwarded to the president for presentation at the annual meeting.

·        The holder of each position shall orient their successor to the duties and responsibilities of the position and transfer the attendant documents and materials to such a successor.

·        Communicate pertinent information to publication chair.

·        Shall be responsible for timely updates to the website.

·         Shall organize and disseminate information regarding scholarships and  awards to the Board.

·        Shall submit a budget and expenses for education related activities to the treasurer.

 

Position Title: Public Relations Chair

 Election Cycle: Even Year 

Committees/areas of concern:

Internal: promoting the benefits of NJOTA membership to OT practitioners in New Jersey

External: Promoting the benefits of Occupational Therapy to the public.

Committees:

Web presence committee

 Project OT Awareness 

Primary Team: WIC, President, webmaster, publications chair, legislation chairs

 Financial Responsibilities: None; expenses as incurred and approved by a vote of the Board

 Brief Description of Position: Shall develop communication between members of the profession and the public. Publicity and other public relations to promote public understanding of occupational therapy. 

Enhanced Description of Procedures, tasks and materials related to your position:

·        Is responsible for NJOTA display materials.

·        Is responsible for Project Awareness materials.

·        Develops committee to aid in responsibilities

·        Oversee website functions in content and visibility

 Primary Responsibilities:

·        Members of the Board Directors shall be members of NJOTA.

·        Shall attend all Board of Directors meetings as a voting member

·        Shall provide written/electronic  reports as necessary to be incorporated by the Secretary in the monthly minutes of the Board of Directors.

·        An annual report shall be forwarded to the president for presentation at the annual meeting.

·        The holder of each position shall orient their successor to the duties and responsibilities of the position and transfer the attendant documents and materials to such a successor.

·        Communicate pertinent information to publication chair and web information coordinator.

·        Coordinates special events and information sessions in various locations throughout the state.

Position Title: State Legislative Chair

 Election Cycle: Even years

Committees/areas of focus: clearing house of information regarding state legislation issues; Liaison with lobbyist; also contacts AOTA government and AOTA state affairs person 

Primary Team: President, State Liaison, AOTA, lobbyist 

Financial Responsibilities: None; expenses as incurred and approved by a vote of the Board

Brief Description of Position: The State Legislative chair is responsible for Monitoring state legislation and regulations affecting occupational therapy. 

Enhanced Description of Procedures, tasks and materials related to your position:

·        Licensure information

·        Lobbyist contact information

·        Fiscal monitoring of lobbyist expenses

·        Recommend periodic attendance at Advisory Council meetings

 

Primary Responsibilities:

·        Members of the Board Directors shall be members of NJOTA.

·        Shall attend all Board of Directors meetings as a voting member

·        Shall provide written/electronic reports as necessary to be incorporated by the Secretary in the monthly minutes of the Board of Directors.

·        An annual report shall be forwarded to the vice-president for presentation at the annual meeting.

·        The holder of each position shall orient their successor to the duties and responsibilities of the position and transfer the attendant documents and materials to such a successor.

·        Communicate pertinent information to publication chair and web information coordinator

 

CORRESPONDING SECRETARY – NJOTA Officer 

Election cycle: ODD years for term of two years. 

Eligibility: NJOTA member.  

Primary Duties

  ·  Serve as a voting member of the Executive Board of NJOTA

  ·  Attend all Board meetings of NJOTA

  ·  Conduct all necessary correspondence not coming under the

      responsibility of individual committees.

  ·  Submit copies of all correspondence to the Recording Secretary to be filed with the official records and documents.

  ·  Submit all official correspondence to the NJOTA President for approval and/or signature, within two weeks of initial request.

  ·  In the absence of the Recording Secretary, serve in this office at Board meetings.

  ·  Should the Recording Secretary be required to serve as President pro tem, assume the duties of the Recording Secretary until Recording   Secretary is able to resume the position.
